Improving the Quality of Life with Technology: 4 Ways Our Solutions Have Improved Business Processes.

by Cynthia Eze

Overtime, technology seems to advance so fast that keeping up to latest innovations is more or less impossible. Today, the importance of technology in the society can never be underestimated— from simple manual chores to more complex industrial systems, technology has made our activities more straightforward and more accessible and easier than ever before.

13 years ago when Seamfix started, we were not specific about the problems we wanted to solve, but we were very much interested in assisting businesses thrive—we asked ourselves: what are these businesses trying to achieve? What are the problems they are facing? How can we help make their processes easier? How can we make them satisfy their end customers? Will these processes improve the quality of their businesses or lives?

We focused on these three keywords, which are Improvement, digitization, customer satisfaction, and better quality of life—exactly what our mission was.

Quality of life is a very ambiguous term, but I will break down this term for the sake of simplicity. What I meant by quality of life, this has to do with comfort, satisfaction, and happiness—towards businesses, and life generally, because businesses are part of our day to day lives. Right from the inception at Seamfix, we have always been committed to be part of this evolution of digital transformation. Launching as a startup with no investors wasn’t a smooth journey, but our problem-solving attitude and hunger towards digital transformation made it easy for us to create innovative technology solutions which is able to empower businesses to have the capacity to meet their customers’ needs and deliver satisfaction at maximum level, with high-quality service-in today’s competitive business world, understanding your customers is very important, this means that providing a strong customer experience has become a necessity in order to sustain a successful business.

Notwithstanding, let us take a giant leap and discover the best ways technology has improved the quality of business processes today-these were culled from our own experiences.

Increased efficiency and productivity

It is no news that dealing with physical documents slows down a process. For example, if there is a request for a particular data or record, you must have to physically search for this data—may be amongst files. What if this record has been misfiled, or even lost? This alone, delays business activities. Again, doing anything manually makes the process prone to error.

The whole process is made easier with technological solutions, we realized that we can cut down record or data retrieval process. With software solutions, everything is stored in an accessible format, accessing each file as fast as possible. Through this, Employees can have time to do more crucial tasks, rather spending their time tediously running through physical archives.

Accuracy in Statistics

Asides storing and transforming data, Statistics was once excessively limited. Companies would only get access to reports on a monthly basis, making it difficult to make highly informed business decisions. With the use of automated software tools, employees can collect and analyze data in real time which can be displayed and sent out as reports whenever needed.

Now that everything is digital, businesses and organizations can have access to centralized dashboards that provide the most important metrics displayed instead of having to schedule meetings in which you spend time showing slides with statistics.

Most importantly, technology has made it easier to collect and analyze massive amounts of data to help improve decision making while also making it easy to share reports throughout your organization at any point in time.

  Confidentiality and Security.

One of our main aims for  digitizing manual processes was not just to store data, but secure data.  Digitization enhances the security of a document and maintains confidentiality. Since scanned documents are traceable, only certain users can access documents if necessary. Information stored on paper is degradable information as paper degrades every time it is handled manually. Document image processing keeps data safe and easily accessible in the future.

  Verification

Earlier, in businesses, we had to capture important data manually which was stored in physical files. This signifies that to review the information, you had to locate the file and find what we were looking for—anyone can actually have access to this file.

Thanks to Technology, with the Identity Identification process or Biometric authentication, you can automate data capture and review information. These software tools are specially designed not just to capture data but aim at analyzing information and successfully detecting  fake identities—this reduces the rate of fraud, and sometimes cybercrime.

Also, identification systems offer many solid benefits for governments, private companies, development partners, as well as individuals-by providing a secure and accurate way of identifying the population, these systems can facilitate the delivery of a wide variety of services that increase gender equality, improve access to social safety nets, boost economic opportunities, expand financial inclusion, and many more.

A lot of businesses still shy away from advanced technology because of its supposed complexities; little did they know that when they join the wagon of advanced digital technological crew, they can boost speed to their market products or services, leverage customer satisfaction into loyalty and also  improve profitability.

Ultimately, advanced technological solutions are constantly evolving such as cybersecurity technology, Cloud storage, Advanced AIs and analytics, Biometric Identification, Blockchain and the list goes and on-We, the seamFIXERS, would keep evolving as time goes, rapidly joining the trend of digital transformational leaders, consistently easing business processes with innovative technological solutions.

The Ultimate Guide on How to Write a Blameless Digitalization Strategy

by Seamfix

The world is fastly becoming digitalized, and familiarizing yourself with the fundamentals of a digital strategy will help you in your business. With more than 80% of internet users using smartphones or some form of tech, having a digitalization plan for your business will keep you updated with the latest trends. It will also give you access to a plethora of digital channels to do business on.

However, without a plan to build on, your digitization efforts can crumble. That is why we created this digitalization guide to help you effectively digitize your business.

This article is the only guide you will need to develop your digital strategy. No matter the industry you are in, you can consider this article a cheat sheet to form the foundation of your digitalization strategy. But first, what exactly is a digital strategy?

What is a digitalization strategy?

A digital strategy is unlike a traditional business strategy that focuses on a long term plan and budget. This is because technology is an ever-evolving field, so creating a business strategy that spans over three years is unrealistic.

So, a digitalization strategy focuses less on a time frame and more on:

  • Creating policies
  • Prioritizing goals
  • Entrusting roles to people who can make the right digitized decisions.

The scope of a digital strategy

A digital strategy is not a one size fits all plan. There are various technology sectors and your strategy should take all of them into consideration. Here are a few scopes your digital strategy should cover:

  • Email: Your strategy should take everything email marketing into consideration. This includes email newsletters, trigger-based emails, etc. It should create roles for email correspondence and assign people to these roles. Lastly, it should identify the steps for growing your mailing list and ensuring data protection and privacy for your consumers.

  • Social media: There are many social media platforms, but chances are your business doesn’t have to be on all of them. In this sector, your plan should:
  • Identify the social media platforms relevant to your business.
  • Outline your social media strategy
  • Create roles for social media management and assign individuals to the roles.
  • Outline how you intend to handle a negative encounter on your social media channels.

  • Digital marketing: Digital marketing is a significant sector of your digital strategy. Take into account your search engine optimization (SEO), PPC, affiliate schemes, paid and sponsored ads, etc.

  • Website: In this sector, your plan should identify:
  1. Your key website features.
  2. How content is curated and created for your website.
  3. The specific roles for website management and assign relevant personnel to said roles.

These are just a few areas your digital strategy should cover. In each area, your strategy should;

  • Pinpoint the benefits of using any of these technologies in your business
  • Access the current performance of the chosen technologies.
  • Have a place for technology recommendation as tech evolves.

A step-by-step guide to writing your digitalization strategy

1) Identify your ‘Why?’

The first step in creating your digital strategy is to identify why your organization exists in the first place. This will help you write a spot-on brand story with a strong message.

2) Define your goals

Next, using the SMART method (Specific, Measureable, Attainable, Realistic, and Time-bound) define your digital strategy’s goals.

3) Create your buyer persona

Knowing your customers, their likes and dislikes is a surefire way to sell your products/services effectively. Creating a buyer persona helps you learn more about your intended consumers and how best to sell to them. Here are the steps in creating your buyer persona:

  • Use surveys and interviews to carry out market research.
  • Then, use the data you get from your market research to build your buyer persona.
  • Give the persona you create a name. This humanizes them.
  • Add their goals based on your product/service offerings.
  • Include challenges they might want to overcome by patronizing your brand.
  • Add hobbies, interests, and priorities to the persona.

4) Map out your consumers’ journey

Mapping out your consumers’ journey will help you better understand how they interact with your business. Here are a few questions you should be asking:

  • On what platforms do our consumers encounter our business online?
  • What contact points are relevant when a consumer is deciding to go with our brand?
  • What factors deter consumers from using our brands to fulfil their needs?

5) Identify important channels

This next step references back to the scope we mentioned earlier. You only need to be on the digital platforms relevant to your brand. Therefore, do your research and find out where your target market is. Then, make sure your strategy focuses on those channels.

6) Create your content strategy & content calendar

Creating your content strategy is a significant step in your digitalization strategy. Content is king, and by creating a plan to engage and convert your potential consumers on the critical channels identified in step five, you are ensuring you get your desired results.

A few tips in creating your content strategy:

  • Take important dates into account, and identify how they could be tied in with engaging content.
  • Create a list of potential content ideas your consumers could be interested in.
  • Section your ideas into a content calendar. This will ensure you adhere to your content creation schedule.
  • Ensure you include benchmarks, employees in charge of creating and publishing your content in your calendar.

7) Create plans for your available resources

Next, create a detailed plan on how you intend to use your available resources in your digitalization strategy. Resources like time, money, human resources, and others are crucial to the success of your plan. Creating a detailed plan on how you intend to use said resources would infuse clarity in your plan.

8) Measure

Finally, you need to use the data you will get once you execute your digitalization strategy to measure. Go through your goals and measure how well you achieved them. Then, recycle this data to create an even more effective strategy for your brand.

In conclusion

This guide is a step by step process, so following it as such will ensure you are on track to creating an effective digitized strategy for your brand. Remember, a plan is essential for any success. Creating a digitalization plan will ensure your business sees positive results.

Going Digital: Changing the Trajectory of Your Business Growth Chart with Data-Driven Decisions.

by Seamfix

the business world today, Data is considered King, and for all the right reasons too. The 21st-century business market place is a data-driven environment and data is at the core of every decision-making process. Data empowers business owners with facts, statistical numbers and trends useful to manage the day-to-day business activities, growth strategies and finances of the organization and those who do not have it will be racing against their competitors in a blindfold.

We could go on and on about the importance of data and never be lost for reasons. However, just as it takes the right king to lead a nation right, it takes the right data to make the right decisions. Hence, It is possible that even an organization with a houseful of data can come crashing down. With so much information out there, business owners must be able to filter through the chaff and get the right data to leverage on — only then can they make the best decisions for growth.

The right data should have the following characteristics:

  • Must be from an authentic source.
  • Must have integrity, which means it must not be corrupted.
  • In the case of sensitive data, the right data must have access control, which means unauthorized personnel cannot access it.

The ever-increasing need for data is the reason for the equally rising need for optimal means of data capture, which is a major pain point for most business owners. However, the emergence of new technologies has simplified this process which has brought about another saying ‘Go Digital or Go Home’.

This is because it is a world where some of the fastest decisions have to be made and manual means of data capture will only slow down this process.

The Role of Digitization in the Data-Driven Decision-Making Process

Simply put, digitization is the process of converting information into a digital format. To any business owner eager to make data-driven decisions with the right kind of data, digitization is the key. Digitization is one way for businesses to go completely paperless and begin using digital forms to collect useful information for analysis. This drastically reduces the amount of time taken to gather data and improves the workflow. Basically, digitization is that thin line between an efficient data capture process and a counterproductive one.

Today, emerging technologies are aiding business’ quests for digitization. One of such new-age technologies includes Data Collection Platforms, offering businesses a perfect escape from the shortcomings of paper forms by enabling an easier and quicker collection of clean and verifiable data.

The benefits of data collection platforms are endless. Some of which include:

  • Saving organizations money (cost of buying paper, printing, transporting and even storing).
  •  Ensuring clean data by eliminating entry errors during the digitization process or data loss during transcription.
  • Allowing for massive reach and scale.
  • Empowering organizations to carry out real-time analysis for quicker decision making.

Choosing the right digitization platform for your business

As business owners come to the fast realization that paper forms are not doing their businesses any world of good and go about seeking options for digitalization through digital forms, many digitization platforms are springing up to match the growing needs for digital forms.

As a business owner making the same choice, you would be truly spoilt for choice. However, since there are different kinds of businesses with equally different needs for digital forms, it is important to have an overview of what you should be looking for when deciding which data collection platform to adopt.

Here are some options below;

Mobile Enabled

As a business owner, the foremost feature you should always consider when choosing a data collection platform is its ability to work on mobile devices. Your forms should be able to go anywhere with you and your customers and even fit in their pockets. This will be valuable to businesses that send out field agents to collect data.

Offline Capability

For business owners with a large customer base distributed in remote locations, it should be considered a priority that your choice data collection platform should work perfectly in the absence of network connectivity. This allows for massive reach and nationwide inclusion.

Flexible Form Builder

Making a decision to upgrade your paper forms to digital forms means your form should be exactly how you want it to be and should reflect the style of your business. Hence, you should ensure that your data collection platform is flexible enough to allow you to create your forms and configure them with any requirement you need from your users. Requirements include the type of data needed — textual, images, fingerprints,eSignatures and so on.

Easy Integrations

Your choice digitization platform should take data collection a step further by enabling you to integrate with your existing business workflow. With this, there will be no need to start restructuring your business processes and this helps ease the manual burden from you and your staff.

Real-time Analysis

Collecting data to make data-driven decisions can go the extra mile if the process is faster than that of the competitors. Achieving this speed with data collection platforms can only be possible if the platform is embedded with quality reporting and analytics tools to analyze data in real-time. The ability for speedy data analysis at the point of need will enable proactive decision making rather than reactive and improve operations at a faster pace.

COVID-19 Disruption to Global Economy and the 4Ds

by Seamfix

Digital, Digitization, Digitalization & Digital Transformation

2020 started off as a bright year for most; setting short term and long term goals with lots of hope and dreams for the year; organizations setting new sales and revenue targets, launching new products and services for profits and to increase market share; USA and China in economy tussle; while for sports, looking forward to worldwide events like the Olympics, the EURO 2020, and with Liverpool 3 games away from lifting the English Premiership after 30 years of waiting.

2020 was exciting and going well for so many until the global outbreak of COVID-19 which started from Wuhan city in China and spread to the rest of the world bringing businesses and the global economy to a standstill. Directly or indirectly, we have all been affected negatively or positively as a result of COVID-19.

What is the impact of COVID-19 on businesses and global economy and what more do we need to know?

According to John Hopkins University, as at the time this article was written, we had more than 3.7 million confirmed COVID-19 cases globally, and 263,000 deaths recorded worldwide, with the US being the worst hit. Many businesses and economics have suffered losses, of which some will never recover from. Over 50 countries are still on lockdown, 4% GDP in decline, over 25 million jobs lost globally, and there is a 30%-40% decline in the stock market according to Bloomberg.

Digital Products and Services in COVID-19 Era

The future of economy and business, either big or small, is Digital — going digital or providing digital products and services is key to business survival. The impact of COVID-19 is reshaping the future of business globally, with some suffering huge revenue loss and others hitting unexpected revenue to keep shareholders happy. Companies that are strategically positioned digitally are winning the war over the pandemic while their counterparts have suffered more revenue losses.

We have seen the rapid growth of internet connectivity (over 80%) as a result of people stuck at home during the lockdown or in isolation. More of our time is being spent online either working from home with the help of the Internet, consuming digital products and services for increased productivity or entertainment, learning new skills for development, or connecting with friends and family.

People are now reliant on digital products and services that allow us to work, pay bills, socialize, learn from home, etc. We have seen an increase in the usage of remote work apps like Zoom, Google-Hangout, Google Classroom, Microsoft Team, etc. Learning is now online; the business meeting is now happening online.

Digitization of Business Processes and Operations for Revenue and Growth in COVID-19 Era

Words like ‘Digital’ and ‘Virtual’ are the most searched in the last few weeks, according to google, because a situation like COVID-19 has pushed us to do the needful. The pandemic has forced government-owned enterprises and private enterprises that have not digitized their business processes to make non-scalable business decisions to continue operations and serve customers. We have heard of organizations lodging staff at nearby hotels for quick and easy access to the office location or customer site.

However, with digitization, we can choose how to work and when to work. With all the data and information being stored on digital media and devices, we can easily transform it and access it from anywhere. Technological progress and digitization make it possible to adjust the work schedule to personal needs and lifestyle.

Since many services are provided with the use of technological tools, more and more companies rely on freelancers and remote workers as they can deliver their work via the internet and also collaborate with team members virtually through the use of digital products like Zoom, Microsoft Team, Google Hangout, etc, and teams deliver tasks — maybe even faster than working from the office —and allows for collaboration and partnership.

Digitization is not an IT project but a business strategy driven by top management.

Digitization will help an organization to change a business model and provide a new revenue stream and value-producing opportunities; digitization gives a competitive advantage by doing things, faster, cheaper and better than the competition. Digitization is so important in our work and in the business world today as it contributes positively to the constant change and development. Work doesn’t look like it used to 20 or 50 years ago. It became more elastic as people can easily work from anywhere with the help of digital tools and digitization content.

We witnessed and experienced how the consumption of digital products and services sustained us during this period of lockdown and the new rules of social distance. We have also seen digitization giving us options to continue to do things we love from the comfort of our homes. The movie theatres are closed but we have the option of Netflix; restaurants are closed but we still have the option of ordering our favourite meals online and also buying the groceries online and having them delivered to our doorsteps.

Digitization is helping mankind to sustain during the lockdown periods, and these digital products and services will continue to be part of our lives post COVID-19.

On its part, digitalization promises much-needed improvement both in the delivery of public services, onboarding processes and turnaround time.

Digital Transformation Post COVID-19

What does Digital Transformation mean for Business? Digital transformation is changing the way business gets done and, in some cases, creating entirely new classes of businesses. With digital transformation, companies are taking a step back and revisiting everything they do, from internal systems to customer interactions both online and in person.

As countries began to ease on the lockdown, allowing gradual economic and business activities to comeback in phases even with health and safety rules to prevent the new spread of the coronavirus (as research work for a vaccine continues to make significant progress), we have seen a quick shift in businesses using new tools to engage customers and offer products and services as a move from the traditional way of doing things to the smart, digital-driven way of managing customers and business and adding value.

We have discussed the rise in the demand of internet connectivity; Zoom becoming a company worth $20 Billion within 3 months. Netflix was given the ability not only to stream video content directly to customers but also to gain unprecedented insights into viewing habits and preferences. It uses that data to inform everything from the design of its user experience to the development of first-run shows and movies at in-house studios. That’s digital transformation in action —  taking advantage of available technologies to inform how a business should run.

Digital Transformation framework

  • Customer experience
  • Operational agility
  • Culture and leadership
  • Workforce enablement
  • Digital technology integration

Post COVID-19: Digital Transformation in Nigeria

In Nigeria, the private sector has been the major driver for innovation and the adoption of digital and emerging technology, with the public sector lagging behind. The lack of interest in the public sector has generally slowed the overall digital technological advancement in Nigeria.

The time is now for government-owned businesses and enterprises to shift from the traditional way of offering products and services and move to digital. The world may never go back to normal, we have learned so many sweet and bitter lessons from the COVID-19 pandemic which have greatly changed the way businesses offer products and services which is the reality of things and the new normal.

Many people demanding government-owned products or services will still prefer to be served digitally as the social distance will continue even after the pandemic is long gone. Our way of doing business and providing goods and services may change forever too. Government-owned businesses must shift from the traditional way to the digital way to continue to be in existence.

The Way Forward

With the disruption caused by COVID-19, we expect digitization to open up a new stream of business opportunities and revenue. The way that interferes with our new future will determine the survival or extinction of any organization. COVID-19, however, has accelerated the potential of both.

As companies have transformed themselves with digital technologies, people are calling on governments to follow suit. By digitizing, governments can provide services that meet the evolving expectations of citizens and businesses, even in a period of tight budgets and increasingly complex challenges. By digitizing processes and making organizational changes, governments can enhance services, save money, and improve citizens’ quality of life.

2020 will be a year of reckoning for digital initiatives. Organizations that continue to underestimate the need for culture change do so at their own peril.

Seamfix is here to listen to our clients and help them to drive a digital culture, either through digitization, digitalization, or using digital transformation to manage a business by creating new products and services or enhancing existing products to keep customers happy. Do you feel woefully behind? Are you a government-owned business ready to go digital? or a private enterprise on the journey to digital transformation? We are ready to help you accelerate your digital transformation journey.

5 Insights to Write a Flawless Digitalization Strategy

by Seamfix

Whether your business operates in the online services industry, eCommerce or other business models which require a reliable, online presence, shifting toward digitalization sooner rather than later is highly welcome.

According to Forbes, 44% of companies have shifted toward a digital-first approach to providing customer experience in 2019, with 76% of consumers who think that companies should understand their needs and expectations prior to the engagement or purchase. Consequently, studies published by Finances Online indicate that 89% of enterprises have prepared digitalization strategies or are in the process of outlining them in 2020, with 21% of North American and European companies stating that their digital transformation initiatives are completed.

Regardless of how localized or global your service portfolio maybe, introducing digital, cloud-based and easily-accessible communication channels as well as data storage processes will undoubtedly bear fruit for your business. That being said, let’s take a look at what makes digitalization so important in today’s market, as well as several crucial insights and tips on how you can write your business’ digitalization strategy right now.

Why Digitalization Matters More than Ever

Before we take a look at how you can introduce digitalization into your business model in 2020, let’s briefly outline the advantages taking such action would bring to your company. By itself, digitalization can mean a plethora of things: from introducing cloud-based data analysis platforms, digital marketing tools, to identity verification services such as Verified from Seamfix, and social media management — digitalization includes all of these actions and more.

Introducing any, all, or a combination of these points to your business will effectively expand your market reach, enable you to cooperate with overseas stakeholders and plant a proverbial flag in your industry, letting the competition know that you are ready to fight for your piece of the market.

Dorian Martin, Digital Marketing Specialist at WoWGrade had this to say on the topic: “With the expansion of cellular networks, smartphone access, as well as multi-billion user bases on social media, digitalization is the natural next step in the evolution of any successful business. Digitalizing existing processes will efficiently streamline daily data processing and customer servicing, subsequently leading to higher revenue and lead generation rates across the board.”

In short, the concrete benefits of outlining and implementing a digitalization strategy for your business include:

  • Better employee productivity and motivation through services such as iClocker from Seamfix.
  • Easier in-house communication and collaboration.
  • More efficient, calculated, data-driven decision-making.
  • Room for process innovation, upgrades and concurrent R&D.
  • Minimized margin for error and higher overall ROI.

Insights into Writing a Flawless Digitalization Strategy

  1. Audit your Current Digitalization:

In order to outline an efficient and streamlined plan to digitalize your business model, knowing the current state of affairs within your company might be your best bet. The way to get started on your digitalization strategy is to audit your business’ current digitalization efforts, systems and coworkers’ familiarity with digital platforms. Write down the pros and cons of your current data collection and processing, client servicing, and web platform’s functionality. Think of the best ways in which you can eliminate downtime, what your budget can sustain, as well as how deep you can go with coworker training in terms of digitalization. Platforms such as Supreme Dissertations and Evernote can be used to write an outline of your strategy to allow for a better overview of digitalization.

  2. Assemble a Dedicated Team:

Digitalization is a delicate effort, one that will effectively transform the way you conduct business and store data going forward. As such, it’s extremely risky to put the entire project on the shoulders of a single employee and hope for the best in doing so. To get the best results and avoid confusion or mismanagement, its good practice to appoint a dedicated team within your company to do so. Having a project team with the task to write and implement a digitalization strategy will allow for better coordination, mutual insight and feedback which will result in better digitalization.

  3. Invest in Online Visibility:

One of the elementary points of digitalization involves establishing a more stable online presence for your business. From SEO optimization of your website to social media pages and community engagement, having reliable channels of online communication with your stakeholders is pivotal for success in 2020. Not only that but, by implementing services such as BioRegistra from Seamfix, you will be able to gather much more relevant data from your stakeholders and use it to improve your services further for mutual benefit. Make online visibility a high priority in your digitalization strategy writing and the effects of such an initiative will be felt on your bottom line and engagement rates shortly thereafter.

  4. Interconnect Content & Business Strategy:

Providing meaningful, original and practical digital content for your clients and customers remains one of the pillars of digitalization. After all, writing blog posts, articles and how-to texts related to your industry and service portfolio will effectively showcase your company’s philosophy, business culture and brand identity. In order to get the most out of content marketing, it’s important to closely connect its themes and topics to your business model. Writing platforms such a Studicus and Readable can be utilized to successfully produce relevant digital marketing content for your business which will closely coincide with your service portfolio. Carve a place for your business and don’t try to become a platform with no clear niche — it will allow you to generate relevant leads and gain a foothold within the industry easily thanks to digitalization.

  5. Engage your Stakeholders:

Lastly, to take full advantage of the newly-implemented digitalized platforms and communication channels, it’s important to use them constantly to engage your stakeholders. Ensure that your stakeholders are aware of the digitalized services by introducing PPC marketing, registration services akin to BioSmart by Seamfix, as well as digital-only activities such as social media live events, giveaways and presentations. Keep in mind that any activity you perform online or through your digitalized business model will result in much more useful and concrete data than any analogue, offline stakeholder engagement ever could. Make support channels available around the clock, have a social media manager in place, and make sure that your content creators produce new posts going forward.

Conclusively, Leave the Door Open

The fact of the matter is that digitalization represents an ongoing effort, one which can always be improved and developed further depending on your resources and aspirations. To that end, make sure that you are always open to new suggestions, upgrades and additions to your business model, ones which will make your company more accessible to clients across the globe. Start by outlining your digitalization strategy, establish an online presence and work your way up from there — before you know it, you will experience more engagement than ever before.

How Leasing Companies Can Use Digital Consent Forms

by Seamfix

Providers of delicate services often need to gain the consent of recipients of their services before offering it. Consent forms provide the best means of documenting these agreements, even though they vary by industry, including healthcare, engineering, oil and gas, finance, and so on. However, consenting to terms and requirements should not be so hard. It should be quick, on-the-spot, cost-saving, and improve productivity. In essence, it should be digital.

In the first of a number of series on digital consent forms, we take a look at how leasing companies can digitize their paper consent forms and improve process using BioRegistra.

Making the introduction

The first interface on the leasing consent form basically introduces the facility or asset being leased out by the leasing company. A short description of this is required, as well as the date when the form was filled.

Terms of Lease

Here, users can fill important details that include why they want to rent an asset, the duration for which it will be used, as well as attaching a Certificate of Issuance. These information will normally be used as a binding basis for which the facility will be leased, from its availability to the provision of relevant documentation.

Leasing Rates

Users agree to the rates set for using the asset. This is dependent on the agreed period of rental; days, hours, one-time use, etc. If there are extra rates, the form also shows this to the user and consent is reached before clicking the next page.

Electronic Signature

The ultimacy of digital consent forms lie in the ability of users to show their agreement to the terms by signing off electronically. BioRegistra lets both the lessor and the renting party to sign on the app, supported by required fields for the names and designations of both parties.

Digitizing consent forms ensures that nothing is lost in the details. Fields can be added and removed as the organization deems fit, a thing that is not easy with paper forms.

Here are some other situations for which BioRegistra as a tool for creating digital forms can be used.

Digitization is The Best Form of Data Archiving – Chimezie Emewulu

by Seamfix

Managing Director, SEAMFIX, Mr. Chimezie Emewulu, spoke to Emma Okonji on the benefits of BioRegistra in digitizing data capture and archiving for organizational growth. Excerpts:

Your company SEAMFIX, recently launched a new data management solution called BioRegistra. What is the solution all about and what does it seek to address?

BioRegistra is a platform for all forms of registrations that are designed to capture data for various reasons. So the platform helps people in digitizing their data, which is critical for business growth. People acquire data because they need the information captured in the data to do a lot of things.

The need to digitize data in the first instance will enable custodians of data to see their data real-time and make the best of the decision, based on the information they have at hand. BioRegistra can capture all forms of demographic data, including fingerprint and facial capture. We were motivated to design and create the BioRegistra based on the request we got from customers who felt the need for a solution that can capture data accurately and safely store such data for future use. Over the years. SEAMFIX  has been involved in data capturing for various organizations and it was based on our pedigree that customers came to us to seek for a solution that will address their business needs.

So we decided to create the BioRegistra, which is a generic platform that captures all manners of data from where people and businesses could source information from.

So with the ready platform, businesses will roll out much faster since every single data they need to promote their business, is already captured.

What is the cost implication of the solution for customers?

The cost implication is very minimal and it is almost free because businesses do no longer need to build their own data center to begin business. Again, customers pay according to what they use on the platform. It is easy to deploy since it is mobile device-based and most people have mobile phones that are connected to the internet. So the solution can be on the mobile phone, or on any device that is not mobile.

So how does it operate and what specific challenges does it address?

BioRegistra was designed to help businesses do more and achieve more. A lot of businesses that spend time capturing and analyzing data will find our solution very helpful. So it is a platform used for direct data acquisition such that the user does not need to start any form of reconciliation and that is a lot of value added for the customer. So SEAMFIX is adding value to the Nigerian economy, through its solutions that support businesses.

What is the advantage of the solution to customers?

Any customer that keys into the solution, gets the business transacted earlier than estimated. It helps to make quick and on the spot assessment and the decision making is faster once they have the data. It also helps to address a lot of reconciliatory issues with customers’ businesses. Again they do not need to invest in data, neither will they have to get worried about losing their data, since their data is securely kept. It is an enterprise portal system that provides business owners with access to data, anytime any day.

What kind of support does SEAMFIX offer the society where it operates?

We have a lot of internship programmes where we develop a lot of talents and we do a lot of Corporate Social Responsibility (CSR) programmes to further add value to businesses. We are in partnership with the Education Society Council in Enugu State and we partnered them to provide educational materials, and classroom infrastructure and renovation, among others.

Data explosion is on the increase and the volume of communication is moving from voice to data. What is your take on data growth in Nigeria?

There has been tremendous growth in data across all sectors of the Nigerian economy, but the issue on ground is that most of the data are not digitally archived for the future. In the education sector, most schools, including tertiary institutions still keep data in hard copies of papers instead of in electronic form, which I refer to as digital archiving. University of Nigeria, Nsukka for instance, until last year, had all its students data in physical hard copies, which could be lost to fire outbreak or even insects at any given time, but when the school authority invited us to help them out, we took all the physical copies of students’ results, certificates, and other academic records and digitised them, after which we ran analysis on them to find out the courses that students passed the most and courses that students failed the most. So the school is now able to know, within seconds, the number of students that graduated with first class, second class upper, second class lower and third class in a particular year, a situation that takes them months to analyze before we were introduced to the school system. So the consciousness of digitally archiving data is gradually gaining grounds in most sectors of the economy.

Most organizations still host their data outside the country for fear of data loss due to insecurity. How can you raise the confidence of organizations to begin to capture data in Nigeria and host same in Nigeria?

With our solution, which is cloud-based, customers do not need to entertain fears about generating data and hosting such data in Nigeria because our solution comes with high level of security protection.

Most data generated in Nigeria, operate in silos, but there is a need to harmonize the various data into a single data platform. What is your take on this?

SEAMFIX is worried that several data in Nigeria operate in silos and we are interested in harmonizing such data into a single platform for easy access if given the opportunity to do so. Again, we have the capacity to harmonize existing government data that are seated in various offices, but my worry is that government may not want to give such task to a homegrown company like SEAMFIX, despite the fact that we are capable of achieving a good result if given the opportunity. If allowed to do so, I am assuring the federal government, state and local governments that SEAMFIX will always deliver in record-breaking time.

Most times organizations need solutions that could clean up their existing data that may have been wrongly captured. Do you have solutions for that?

The BioRegistra solution that we just launched has the capabilities to clean up all existing data of organizations that were improperly captured. The solution is able to carry out deep facial analysis of photographs of people that had long been captured and identify whether the earlier registration captured the picture very well. The analysis will detect errors in registration and flag it down to identify it. Once that is detected, the person could be invited for re-capturing.

How will your solution enhance quality data capturing for organizations that are known for quality?

In data capturing, quality is key, and three major things could lead to quality. They are the demographics capturing, the fingerprint capturing and the facial capturing. In capturing demographics, we need to consider the regular patterns of some names and validate them, and this will help to easily identify wrong names. For the facial capturing, we consider the analysis and validation of the photo at the point of capture to ascertain the real photo of the person involved. We are also able to capture data offline and that makes it easier for data capturing in areas where there is no internet connection. For the fingerprint, we also consider capturing the exact template size that will enable the creation of a template for identification purpose. Our solution ensures that the right quality fingerprint is captured and stored in the right format for easy conversion.

How cost-effective is your solution, especially for small and medium enterprises (SMEs)?

Our solution is extremely cost-effective, both for SMEs and big enterprises, and this is so because customers pay for what they use and the burden of getting the infrastructure to capture organizational data, is completely removed from the organization, and this, of course, allows them to face their core businesses. What they need do is to pay per capture and that makes it less expensive for customers. All we need to know at SEAMFIX is about the volume of data that the organization wants to capture and in record time, we get it done for the customer.

How do you address downtime in an organization, using your solution?

We have uptime objective of 99.997per cent, which is a very high signal level for any business to thrive on. A lot of time, we maintain high-level uptime in our data capturing and management.

Is your solution secured and easily assessable?

Our solution is highly secured and easily assessable because of the high-quality features embedded in it. It has a high level of encryption that makes it highly secured and it is user-friendly, such that customers can adopt it and use it with ease. Again the backend has a lot of fireworks that makes it even more secured.

The federal government is particular about local content development. What amount of local content is embedded in your solution?

The BioRegistra we just launched, has 100 percent local content. It was developed by Nigerians and the solution was developed from the beginning to the end with local materials and by local software developers. Again, the company is managed by Nigerians and the staff comprises young Nigerians.

You started SEAMFIX about 10 years ago from a three bedroom flat with N75,000, but today it has grown into millions of naira investments. What has been the challenges and prospects?

There has been a lot of challenges ranging from personal experience and from the government side of it. Funding used to be a major challenge at a time but we were able to overcome it through resilience and perseverance. A lot of customers who did not understand what we were doing, tried to discourage us, but we remained resolute and committed to our goals. Another challenge we had was that of mentorship but it was also resolved when we met some good industry players who understood our dreams and aspirations and they stood by us. We had challenges of infrastructure and we had to provide internet connectivity for ourselves by investing in fiber cable laying, which often times they are destroyed by the government during road construction.

How will you rate customers’ acceptability and adaptability to the BioRegistra solution?

Acceptance rate is growing as customers get to understand the unique features of our solution. The solution is also app-based and could be downloaded from the Google Play Store and it comes with an education menu that teaches people how to apply it in their various businesses. The site is very flexible and has a lot of training materials that customer could use for self-training. The solution will be quite useful for internal revenue generation because it captures right data that will address revenue loss in organizations.

On Digitization and the World of Endless Possibilities

by Seamfix

Life experiences prove time and again that it’s really not about what we do but how we do what we do. How do you go about capturing students’ information? How do you collate information about your staff and clients? How do you process academic results and deliver them promptly to students? How do you recharge airtime on your phone?

In the end, the how is what separates the boys from the men. You can only do things how best you know to do them, and if you do not closely follow advances in technology, you will not know how best to innovate around your business processes. You will be stuck doing things the hard way. Again, the how is the key!

When we first started thinking around BioRegistra at Seamfix, we were concerned about the fact that organizations spend a lot of time, energy and resources trying to capture different kinds of information. Data capture was slowing organizations down.

But these things can be done in the blink of an eye. In fact, it is easier and faster to preserve, access and share data anytime and anywhere once we digitize the process.

Why will a student who wants to obtain his transcript travel all the way to his university to get it? Why can’t he stay wherever he is and just click some commands and enter some information and have his transcript delivered to him straight away?

Why do organizations still use paper files or feed into systems manually when they can digitize the entire process?

Why do estate surveyors and valuers still use paper to capture the details of their clients when all they need is a mobile application that enables them to capture such information with ease and access the data whenever and wherever they need it?

This is the thinking behind Seamfix’s move to digitize business processes. We want to make life easy for people. We want to make processes faster. Above all, we want to evolve the most efficient way of preserving and accessing information.

With BioRegistra, all kinds of data (biometric, security, accounting, etc.) can be captured and accessed from anywhere.

With iTranscript, alumni members of universities can request for their transcripts and have it delivered to them anywhere in the world.

In UNN, for instance, we have been able to technically unlock the value of data hidden in their over 40 years academic record that we have digitized, and we are now able to track a lot of information; courses students pass the most, courses they fail the most, success trends for various courses especially difficult ones, which lecturer is supposedly more productive based on success trends, etc and all these are simply because the transcript data has been digitized.

When Nicholas Evans, author of Mastering Digital Business, said that “by digitizing a traditionally analog business model or process, we’re effectively turning it into bits and atoms and enabling an infinite variety of possibilities,” he was right. It is really about possibilities.

What possibilities can we see?

What more can we do?

How can we improve our business processes?

Where can we save more and more time and resources?

These are burning questions that every entrepreneur and business executive have to carefully think about and answer before any meaningful progress can occur in their organizations.
